With profile approval on, the changes a partner makes to their profile wait as a draft until you accept them, so nothing reaches your public directory without your review. You review drafts from the partner's page in Partners. This article is for vendors.
Who can do this: Admin and Manager roles · Availability: available on request: contact PartnerPage support to turn it on.
How profile approval works
Profile approval keeps a partner's edits in a draft, separate from the live profile, until you decide:
The partner edits their profile. Their changes are saved to a draft, and the live profile doesn't change.
The partner clicks Submit for review. From then on they can't edit the profile until you decide.
Your team gets an email that a partner profile is waiting for review.
You open the draft and click Accept, which puts the changes live, or Reject changes, which sends the draft back to the partner with your comments.
Accepting changes doesn't change the profile's status. A Hidden profile stays Hidden after you accept its changes: see Partner profile statuses: Public, Searchable, Hidden, Inactive.
Find profiles waiting for review
With profile approval on, the Partners list has a Pending review view and a Pending review column. A partner page with changes waiting shows the banner This profile has pending changes for review.
Review and accept a partner's changes
To accept the changes a partner submitted:
In Partners, click the Pending review view.
Click the partner's name.
In the banner This profile has pending changes for review, click Review changes.
Compare Current profile with Proposed changes. Only the sections the partner changed are shown.
Click Accept.
You see "Profile changes accepted". The changes are live on the profile, the partner gets an email that their changes were approved, and they can edit again.
Reject a partner's changes with comments
To send a partner's changes back:
On the partner's page, click Review changes.
Click Reject changes.
In Comments, say what the partner should fix (up to 1,500 characters).
Click Send comments.
The live profile doesn't change. You see the banner Your comments have been shared. The partner gets an email and sees the banner Your changes were rejected with comments with your comments. Their draft is kept, so they fix it and click Submit for review again.
What the partner sees during profile approval
Partners see these states at the top of their profile:
While they edit: Discard draft, which throws away the draft and goes back to the live version, and Submit for review.
After they submit: "This entry is pending review by your company and cannot be edited."
After you reject: Your changes were rejected with comments, with your comments.
The partner-side steps are in Submit your profile for review.
What you can change while a partner has a draft open
While a partner is editing a draft or waiting for your review, you can't edit the profile's content yourself. Your partner page shows "This entry is currently being updated by partner and cannot be edited." until the partner submits. You can still change Status, Tier, Featured, availability, the External ID and internal directory fields. To change anything else, review the draft first: accept it, or reject it with comments asking the partner to make the change.
Locked fields and profile approval
Locked fields are available on request. A field you lock shows "Managed by directory owner" to the partner, who can't change it, so locked fields never appear in a draft. You edit locked fields yourself on the partner's page when no draft is open. See Lock profile fields so partners can't edit them.
What you can't do
You can't accept part of a draft: Accept puts all the proposed changes live. To keep some changes and not others, click Reject changes and list in your comments what the partner should undo.
You can't switch profile approval on or off yourself. Contact PartnerPage support.
