Let visitors book calls with partners

Set up the Scheduler so visitors book video calls with partners: event types, booking links, Google Meet or Teams, bookings, feedback.

The Scheduler lets visitors book a video call with one of your partners from a booking page. You set up the calls in your directory's sidebar, partners connect their own calendars and set their hours, and you see every booking and the feedback after each call. This article is for vendors.

Who can do this: Admin role (Managers can view event types, bookings and feedback) · Availability: available on request: contact PartnerPage support to turn on the Scheduler for your directory. Post-call feedback is a separate request.

How the Scheduler works

  1. You create an event type for your directory: what the call is about, how long it lasts and what the booking page says.

  2. People at your partners connect their Google or Outlook calendar in their PartnerPage dashboard.

  3. You add those people to the event type.

  4. Each person sets their available hours and meeting location, and gets a personal booking link.

  5. A visitor picks a time on a booking page. PartnerPage adds the call to the partner's calendar with a meeting link and emails everyone.

Booking pages are hosted at scheduler.partnerpage.io, not inside your directory. Share the links wherever visitors will find them, such as your website or a landing page.

Create an event type

  1. In your directory's sidebar, click Scheduler > Event types, then Create event type.

  2. Under Event, fill in:

    • Title and Description: the name of the call and a short summary for partners.

    • URL: the end of the booking page address, after https://scheduler.partnerpage.io/ and your company's name.

    • Duration: from 5 to 240 minutes, in steps of 5.

  3. Under Booking page, enter the Title and Subtitle visitors see above the calendar, and an optional Meeting description.

  4. Click Save.

The Calendar event card shows the title of the calendar invite: your event type's title followed by "between {partner} and {customer}". You can't change that title.

Add partners to an event type

People appear here only after they connect a calendar, so ask your partners to do that first. See Set up your calendar and booking links.

  1. In Scheduler > Event types, open the event type.

  2. In Assigned participants, click Browse.

  3. In Edit partners, pick the people to add. Each row shows the partner's profile, the person's name and their calendar email.

If the list is empty, PartnerPage shows "No partners with connected calendars are available." Several people from one partner can be on the same event type, each with their own booking link.

Share booking links

Each event type has two kinds of booking link:

  • The event type's page. Click View page on the event type, or hover over its row in Event types and use the copy link button. The page books the call with one of the assigned people and spreads bookings evenly between them. With nobody assigned, the page shows "No available experts".

  • A personal link for each assigned person. The link books a call with that person only. Partners copy their personal links from their own Scheduler page.

Calendars and meeting links

  • Google calendar: calls get a Google Meet link.

  • Outlook calendar: calls get a Microsoft Teams link. Only work or school Microsoft accounts can connect, not personal ones. An account without Microsoft 365 and Teams gets the calendar event without a Teams link.

  • Other locations: a partner can set their own location instead of a video link, or none.

  • Zoom isn't supported.

See bookings

Scheduler > Bookings lists every booked call that hasn't been cancelled, with its Name, Date, Time and Participants. Use the All, Upcoming and Past tabs, or search by name or participant. You can't book, move or cancel calls from this list.

Collect feedback after calls

With post-call feedback on, PartnerPage emails the partner and the visitor each their own short feedback form a few minutes after the call ends. Answers appear in Scheduler > Feedbacks, with the Partner, Partner user, Respondent, Meeting date and Submission date. Open a row to read the full answers.

To change the questions, edit Post-call feedback (partner) and Post-call feedback (customer) in Customizations > Forms. Forms appears when custom forms are on for your directory, which is also available on request. See Customize your forms.

Emails about calls

PartnerPage emails the visitor and the partner when a call is booked, moved or cancelled. Both get a reminder right after the booking. The visitor also gets a reminder 1 hour before the call, and 24 hours before when the call was booked more than a day ahead. See Who gets which email.

Common questions

Does the Scheduler work with Zoom?

No. Calls get a Google Meet link from a Google calendar or a Microsoft Teams link from an Outlook calendar. A partner can instead enter their own meeting location as text, such as the link to a video room they always use.

What happens to bookings when I remove a partner?

Calls already booked stay in Scheduler > Bookings. Removing a partner from your directory removes their people from your event types, and their personal booking links stop working. See Remove a partner from your directory.

Do booking links change when a partner renames their profile?

No. A partner's booking links keep working when the profile's name changes. If the profile's custom address (URL override) changes, its booking links change with it and the old links stop working.
