Invite partners to your directory

Invite partners by email or share your Get Listed link so they create and edit their own profile (listing) in your directory.

Written by Ali Winberry

You can bring partners into your directory from Partners in your dashboard: send an email invitation, share your Get Listed link, or create a profile yourself and invite people to it. This article is for vendors who run a directory.

Who can do this: Admin and Manager roles · Availability: all directories. Sending invitations from the Invite partners page is available on request: contact PartnerPage support to turn it on.

Ways to invite partners

PartnerPage gives vendors three ways to invite partners. Invited and Get Listed profiles always start Hidden, and a profile you add yourself starts Hidden unless you pick another Status when you add it, so nothing shows in your public directory until you publish it (see Partner profile statuses: Public, Searchable, Hidden, Inactive).

What happens

Send an invitation

Partners > Invite partner

On request

PartnerPage creates a Hidden profile with the partner name you enter and emails each person an invitation to it.

Get Listed link

Partners > Copy Get Listed link, or the Share a link card on Invite partners

All directories

The partner fills in a short form, creates an account and gets a Hidden profile.

Add partner, then Add contacts

Partners > Add partner, then Partner contacts on the partner's page

Directories without email invitations (with invitations on, the button reads Invite partner)

You create the profile, then invite people at the partner to edit it.

Send an invitation by email

When invitations are on for your directory, the Partners page shows an Invite partner button. To invite a partner by email:

  1. In Partners, click Invite partner.

  2. Under Send an invitation, enter the Partner name (the company name).

  3. In Email, enter one or more addresses. Add a comma or space between emails to invite several people at once.

  4. Click Send invitation.

You see "Invitation sent" and the partner's page opens, with the invited people listed under Partner contacts. The profile is Hidden.

All the addresses in one invitation must belong to the same company. If some of them already belong to different organizations on PartnerPage, you see "Not all emails are from the same organization": send separate invitations instead.

Share your Get Listed link

The Get Listed link opens your directory's self-signup form. It is your directory's address followed by /get-listed/form, and each directory has its own link, so check you share the right one. To copy the Get Listed link:

  • If your Partners page has Invite partner: click it and use the copy button in the Share a link card.

  • Otherwise: in Partners, click Copy Get Listed link.

Send the Get Listed link any way you like: an email from your own inbox or CRM, a chat message, a call, or a page on your website. The partner fills in the form, verifies their email and sets up their company. PartnerPage then creates a Hidden profile named after their company; if that company already has a profile in your directory, Get Listed doesn't create a second one. Your team gets an email when someone signs up, if New get listed form submissions is on in your notifications. When the partner has finished their profile they can click Submit for review: see Publish new profiles from Get Listed.

Add a profile yourself, then invite people to it

Use Partner contacts to invite people to a profile that already exists, for example one you added yourself. To add a profile and invite its people:

  1. In Partners, click Add partner. In a Technology Partners directory, this opens Add your existing technology partners, where you can search PartnerPage's catalogue or click Add manually. If the button reads Invite partner instead, invitations are on for your directory: send an invitation by email, which creates the profile and invites its people in one step.

  2. Fill in the profile and save it.

  3. On the partner's page, in the Partner contacts card, click Add contacts.

  4. In Email addresses, enter one or more addresses. Optionally add a Message (up to 500 characters) for the invitation email.

  5. Click Add contacts.

People who already belong to the partner's company on PartnerPage are added straight away, without an email. Everyone else gets an invitation email. For who receives the partner's contact requests, see Choose who at a partner can edit the profile and receive contact requests.

What the partner receives and what happens when they accept

Each invited person gets an email from PartnerPage with a link to accept the invitation, plus your message if you wrote one. When the person accepts:

  • Someone without a PartnerPage account creates one with the invited email address. Someone with an account signs in.

  • They land on the profile in their own dashboard, where it also appears under Your public profiles, and can start editing.

  • The first organization to accept an invitation becomes the profile's owner. After that, invitations to people at a different company fail with "This profile already has an owner".

  • The profile stays Hidden until you change its status.

Partners can edit their profile but can't change its status: only your team can publish it. The partner-side steps are in Get listed or claim your profile.

Resend or remove an invitation

Pending invitations show in Partner contacts as "Invited" with the date. To manage a pending invitation, click the three-dot menu next to the person:

  • Resend emails the invitation again. Copy invite link copies the link so you can send it yourself. Both are available when invitations are on for your directory.

  • Remove invitation stops the link from working. You can invite the person again later.

Troubleshooting

The partner says the invitation link doesn't work

The most common cause is that the person signed in with a different email address from the one you invited, and sees "Invitation unavailable". Ask them to sign in with the invited address, or remove the invitation and invite the address they use. The same message appears if you removed the invitation. If they see "This profile already has an owner", someone from another company accepted an invitation to this profile first.

A partner signed up with Get Listed but isn't in my directory

Profiles created through Get Listed start Hidden. In Partners, check the Hidden view, or Ready for review if they have submitted their profile.

Get Listed vs partner applications

The Get Listed link and the partner application form (Apply) do different jobs. Get Listed creates a Hidden profile straight away, and you decide when to publish it. A partner application asks to join your partner program, and no profile exists until you accept the application in Partner applications.
