Records is a simple CRM inside your directory, with three lists: People, Companies and Leads. PartnerPage fills it from the contact requests and matchmaking requests your directory receives, and you can add and edit records yourself. This article is for vendors.
Who can do this: Admin role (Managers can view Records) · Availability: available on request: contact PartnerPage support to turn on Records for your directory
What Records holds
People: one record per person, with their name, email, phone and company.
Companies: one record per company, with its name and one or more web domains, such as example.com.
Leads: one record per sales opportunity, with a title, comments, a company, the people involved and a stage. This article calls these records opportunities.
Find Records in your directory's sidebar. Each directory has its own Records.
How records are created from requests
Each time a visitor sends a contact request through a partner's profile, or sends a matchmaking request, PartnerPage adds records for that visitor:
A person, matched by email address. If Records already has someone with that email, PartnerPage uses the existing person.
A company, when the visitor gave a company name. PartnerPage looks for a company with the web domain of the visitor's email address or company website, and creates one if none matches. Free email domains such as gmail.com don't count, so a visitor with a free email address and no website gets no company. If the person is already in Records with a company, PartnerPage uses that company.
An opportunity in Leads, titled "Request from" and the visitor's name, with the visitor's comments, the company and the person, in your default stage.
Each request adds its own opportunity, even when the person already exists. Reassigning or duplicating a contact request also adds one. Assigning a matchmaking request to partners doesn't, because the matchmaking request already has its opportunity. Records can already hold people, companies and opportunities from requests your directory received before Records was switched on.
Add a person or a company
In the sidebar, click Records > People, then Create person.
Enter the First name, Last name and Email. Optionally add a Phone and pick a Company, or click Add company to create one.
Click Save.
To add a company, click Records > Companies, then Create company. Enter the Name and at least one domain under Domains, then click Save. Each email address and each domain can belong to only one record in a directory.
Work with opportunities in Leads
Records > Leads shows your opportunities as a board, with one column per stage, or as a table. Switch with the two buttons next to Create lead.
To add an opportunity:
Click Create lead, or the plus button in a stage's heading (New lead in an empty column).
Enter a Title and Comments, pick a Company and People (or add new ones), and choose the Stage.
Click Save.
On the board, drag an opportunity to another column to change its stage. In the table, search by name, people or company. To delete an opportunity, open it and click Delete. Deleting can't be undone.
Set up stages
Every directory starts with one stage, New, which is the default stage for added opportunities. On the Leads board:
Add a stage: click the plus button after the last column, enter a name, pick a color and click Add. A directory can have up to 50 stages, each with its own name.
Rename or recolor a stage: click the stage's heading, change the name or color at the top, then press Enter or click outside.
Change the default stage: in the stage's menu, click Set as default stage. Opportunities added afterwards, including the ones created from requests, go to that stage.
Reorder stages: drag a column by its handle.
Delete a stage: in the stage's menu, click Delete stage. Its opportunities move to the default stage. The default stage can't be deleted.
What you can't do
Delete people or companies: only opportunities in Leads can be deleted.
Export Records: Records has no export. To get request details in a file, export Contact requests or Matchmaking requests. See Export partners, applications and reviews.
Open the request behind an opportunity: an opportunity doesn't link to the request that created it. Search for the customer in Contact requests or Matchmaking requests instead.
Sync Records to another CRM: Records stays in PartnerPage. To send requests to your CRM, use webhooks. See Set up webhooks for your directory.
